In Lieu Finance Assistant privacy policy

In Lieu operates this assistant for its authorised team. This policy explains how the finance integration handles Google account and expense information.

Information and purpose

With account authorisation, we access basic account identity and approved spreadsheet information. Expense records can include dates, merchants, amounts, currencies, payer names, business purposes, cost allocations, reimbursement status, receipt links and record identifiers. We use this information to log and correct expenses, answer balance questions and prepare business records.

If Drive receipt storage is enabled through separate authorisation, we also process the relevant receipt documents and metadata. Receipts may contain personal information supplied by the purchaser or merchant. Do not submit passwords or full payment-card credentials to the assistant.

Processing and access

Google stores the connected spreadsheets and any Drive receipts. Relevant data is also processed by In Lieu's assistant infrastructure. Information needed to interpret requests and prepare responses may be sent to OpenAI. Authorised team members may submit requests or receive results through enabled interfaces, including Telegram. Selected records may be kept in private business notes, exports, version history and recovery backups. These providers process data under their applicable terms and account settings.

Team access follows In Lieu's sharing and assistant-access arrangements. Records may be shared with an authorised accountant when In Lieu requests this. We do not sell Google user data or use it for advertising. Our use and transfer of Google user data will follow the Google API Services User Data Policy, including its Limited Use requirements.

Retention and controls

We keep business records and relevant assistant history to support expense tracking, reconciliation and record recovery. There is no fixed automatic deletion schedule for assistant records at launch. Copies may remain in backups after the working record changes.

You can revoke the connection through your Google Account's third-party connections settings. Revocation stops future access through that connection; it does not automatically remove previously stored records or their backups. Contact team@inlieuofficial.com to request access, correction or deletion. We will explain how a request can be handled, including records that need to be retained and copies already held by others.

We will update these disclosures when our data practices change and obtain any additional consent required before introducing new uses.
